Administrative Expert

For our client in Basel we are looking for an Administrative Expert for a 6-month contract.

Duration: 01/04/2018 to 30/09/2018

(possibility of extension for another 6 months depending on performance)

Location: Basel

Workload: 100%

We are looking for a person who will responsibly and independently deliver profound administrative services in a local and global context supporting the UP4Growth program.

We would highly appreciate candidates who already have experience in pharma industry.

Tasks & Responsibilities:

- Independently takes care of general administrative tasks and maintains the administrative processes also in case of absence of the line manager/team members.

– Respond to and initiate inquiries (questions regarding purchasing, personnel, facilities, administration, specialized programs, etc.) Explain policies, answer questions, and independently resolve problems whenever feasible.

– After basic instruction, prepares draft presentation materials for use by others, editing content and adding appropriate graphic and design elements. These responsibilities may include creating basic web content.

– Compose and/or prepare correspondence, memoranda, promotional materials, forms, newsletters, manuals, and reports using appropriate word processing and spreadsheet tools. Perform basic statistical calculations on data for reports and presentations.

– Plan, prioritize and schedule meetings and appointments for Program Leads and other team members. Make decisions on a daily basis regarding calendars.

– Perform specialized administrative duties required to support the specific program area, using discretion to make judgments based on operating guidelines. Support purchasing requirements for department, researching items and obtaining price quotes, checking invoices, entering information into systems, receiving purchase orders, and maintaining information as required.

– Arrange and coordinate travel and travel reimbursement for staff.

– Compile and maintain information that may require web or library researching, gathering, compiling, and updating data and records as well as SharePoint administration.

– Perform other administrative duties as required to support the UP4Growth team.

– Interaction: Informs, advises and supports the team on processes, guidelines and services that are specific to the program.

– Supports optimization of current processes and/or introduction of new or modified processes.

– Handling of administrative projects*: Acts as a team member for administrative projects (e.g. organization of special events) and manages the administrative part of special tasks.

* Projects: Tasks with clearly defined content and time limitations
